This Agreement is entered into by and between Nicole Saleh (the “Coach” and “Facilitator”) and you (the “Participant”), a member of the group coaching cohort, where the Coach agrees to facilitate group coaching for the Participant and cohort members.
1) Group Coaching Overview
Group coaching is a collaborative, facilitated process in which members learn the skills of self-inquiry and support one another in exploring questions, sitting in uncertainty and personally developing themselves. Through a thought-provoking, collaborative, and creative process, and through peer accountability, group coaching helps each member clarify goals, explore possibilities, and develop actionable strategies for meaningful growth and change.
2) Coach–Participant Relationship
The Coach agrees to:
- Maintain the ethics and standards of behavior established by the International Coaching Federation (ICF). It is recommended that the Participant review the ICF Code of Ethics.
- Schedule the meetings, facilitate and bring thought-provoking exercises to the group, and uphold the community and group guidelines to the best of my abilities.
- Respond promptly to and accommodate the current needs, complaints, ideas and feedback to the greatest extent possible.
- Treat all members of the group equally.
- Maintain confidentiality (see Section 4. Confidentiality).
- In case of conflict, do their utmost to encourage the parties to resolve it between themselves. If a person behaves in a way that harms the group, the Coach will provide a warning, followed by removal from the group if the behavior continues.
3) Terms and Schedule
Number of sessions & duration: The group program consists of 6 group sessions delivered over a period of approximately 3 months.
Location & Time: By default, sessions will be held online via Microsoft Teams and will last 90 minutes each. If logistically possible, the Coach will strive to organize in-person sessions.
Fees: The cost for the pilot program is €250. Payment must be made within 7 days or at latest, the program start date. Failure to pay by the start of the program will lead to forfeiture of the place in the cohort.
Cancellation / No-Show: Participants must give at least 24 hours’ notice if they cannot attend a session. Because this is a group program delivered on a fixed schedule, individual missed sessions cannot be rescheduled and are not refundable. Optionally, participants can schedule a 1:1 session to make up for missed group sessions at the prevailing rate of €150 per hour.
Refunds: For prepaid programs, refunds are given at the Coach’s discretion. If the engagement must be terminated for ethical reasons (e.g., conflict of interest, referral to a healthcare provider), a refund will be issued in proportion to the remaining sessions (i.e., if 4 of 6 sessions were completed, a 50% refund of the remaining balance will be issued).
Termination: Either party may terminate participation, in writing, for any reason. The Coach commits to sharing the reason when the engagement cannot continue for ethical reasons, including if the Coach believes the Participant would be better served by another coach or resource. If the Participant wishes to terminate, they are entitled to do so; the Coach appreciates the opportunity to receive feedback and adjust beforehand, and commits to receiving feedback openly without justifying or defending.
Right of Withdrawal: You have the right to withdraw from this contract within 14 days without giving any reason. The withdrawal period is 14 days from the day the contract was concluded. To exercise your right of withdrawal, you must inform us — Nicole Saleh, nicole@nicolesaleh.com — of your decision to withdraw from this contract by an unequivocal statement in writing.
To meet the withdrawal deadline, it is sufficient for you to send your communication concerning your exercise of the right of withdrawal before the withdrawal period has expired.
If you withdraw from this contract, you will be reimbursed for all payments received from you without undue delay and no later than 14 days from the day on which we are informed of your decision to withdraw. The same means of payment will be used that you used for the original transaction, unless you have expressly agreed otherwise; in any event, you will not incur any fees as a result of the reimbursement.
If you requested that the services begin during the withdrawal period, you must pay an amount proportionate to the services provided up to the point at which you informed us of your withdrawal, compared with the full scope of the services provided for in the contract.
Legal jurisdiction: The German court system has exclusive jurisdiction to settle any dispute arising out of or in connection with this Agreement, including any dispute regarding its existence, validity, or termination.
4) Confidentiality Agreement
What is shared within the group stays within the group. As a Participant, I commit to the following:
• I will not share other members names or identifying details outside the group.
• I will not screenshot, record, or share others' information without their permission.
The Participant acknowledges that group confidentiality depends on the good-faith commitment of every member, and that the Coach cannot guarantee the conduct of other members. Concerns regarding confidentiality should be raised with the Coach as needed.
The Coach holds all information shared by the Participant as confidential in accordance with the ICF Code of Ethics, unless otherwise agreed in writing, except as required by law or as deemed necessary by the Coach to protect the Participant or others from harm. In the unlikely event such a situation arises, the Coach will make every effort to discuss it with the Participant before taking action.
The Coach’s confidentiality obligation does not extend to information that:
1. was in the Coach’s possession prior to being furnished by the Participant;
2. is generally known to the public or in the Participant’s industry;
3. is obtained by the Coach from a third party without breach of any obligation to the Participant;
4. is independently developed by the Coach without use of or reference to the Participant’s confidential information;
5. the Coach is required by statute, lawfully issued subpoena, or court order to disclose; or
6. is disclosed where the Coach reasonably believes there to be an imminent or likely risk of danger or harm to the Participant or others.
In accordance with professional ethics, the Coach may discuss situations anonymously and hypothetically with other coaching professionals for training, supervision, mentoring, evaluation, and/or consultation purposes.
5) Participant Agreement
The Participant agrees to the following to maintain the group coaching container for themselves and their peers:
- I agree to attend at least 75% of the meetings. I will be accountable to myself for meeting this commitment, and I understand that I may be removed from the group for repeated cancellations.
- I will avoid multi-tasking during sessions and will strive to stay for the full duration of each session. I will strive to listen openly, communicate honestly and respectfully, be open to feedback, and create the time and energy to participate fully.
- I will reflect on any stereotypes and bias I may be bringing into the discussion.
- I am solely responsible for my own well-being, decisions, and results arising from the coaching relationship. The Coach is not liable for any actions or inactions.
- I understand group coaching does not involve the diagnosis or treatment of mental disorders and is not a substitute for professional psychological help. If the Participant is under the care of a mental health professional, they are encouraged to inform them of the coaching relationship.
6) Communication
I agree to be contacted by e-mail, phone, and/or WhatsApp/SMS for the purposes of group facilitation and to have these details made available to the other members of the cohort. Personal contact information will not be shared with third parties outside of the cohort.
7) Consent to Data Processing & AI Tools
1. To maintain and fulfill the credentialing requirements of the ICF, the Coach must provide basic participant details for verification. By signing this Agreement, the Participant consents to the Coach sharing the following limited information with relevant credentialing bodies: name, e-mail, and the number and dates of coaching sessions.
2. Personal data is stored on the CoachAccountable platform, Notion, Pennylane, and on the Coach’s local device storage.
3. Credit card information is processed by Stripe.
4. Inactive participant data will be deleted after 6 years. Upon request, the Coach will do their best to destroy any or all of the information held, or to not contact the Participant again.
(Optional) Use of AI Tools. Artificial Intelligence transcription tools may be used to assist the Coach with note-taking and the Participant with recording actions. Current tools include the Microsoft Teams notetaker or Tactiq to transcribe, and Claude to extract summaries and to-dos. The Coach has opted out of using this data for training AI models, but cannot guarantee the actions of third parties to adhere to this principle. Because group sessions involve other members, any transcription or recording is also subject to the confidentiality commitments in Section 4. The use of these tools can be discussed at the outset and, upon request, excluded entirely.
